Grace Church is a parish of the Episcopal Diocese of New York, a member of the Episcopal Church USA, which belongs to the worldwide fellowship of national churches called the Anglican Communion. Grace Church is located at Broadway and 10th Street in New York City and is recognized as an architectural masterpiece. The church and surrounding buildings represent three historic distinctions; New York City Landmark (1966, 1977); National Register of Historic Places (1974); and National Historic Landmark (1977).

Grace Church draws its members from the greater New York metropolitan area. Since relocating to the Greenwich Village area of Manhattan in 1846, we have enjoyed an especially close relationship with this neighborhood south of Union Square. Position Description:
Grace Church has a full-time opportunity for an outgoing and friendly front-line professional who can further our mission by joining Grace Church as Parish Office Manager. The Office Manager is responsible for maintaining the daily operations of the parish office, and for providing the administrative coordination which leads up to the weekly worship services.

The ideal candidate will have solid organizational skills to serve as a point of contact for the public and church members and will thrive in a fast-paced, results-driven environment. She/He will be motivated to maintain new and existing initiatives, have experience handling a wide range of administrative tasks, and possess the ability to work both independently and within a collaborative organizational environment.

We seek a professional who is a self-starter with impeccable communication and customer service skills, and the proven ability to efficiently coordinate multiple tasks with strong attention to detail.

• Assist with the weekly coordination of liturgical readers, ushers, altar and flower guild, lay volunteers, and other worship service-related tasks.
• Coordinate the distribution of liturgical lessons, compile Prayers of the People, and as needed, convey pastoral requests to clergy and Grace Cares outreach.
• Assist with printing bulletins and other materials as needed.
• Answer parish office phone, field general email inquiries from the public and route calls/inquiries to departments accordingly.
• Ability to simultaneously field multiple calls and questions, greet visitors and church members and effectively accomplish competing tasks courteously and professionally.
• Provide information to visitors and those who come to the parish office in need, with church hours, event information, social services/food security pamphlets and other outreach related information.
• Coordinate distribution of incoming/outgoing mail and sign for packages and deliveries.
• Coordinate ordering, receiving, stocking and distribution of office and worship supplies. work with vendors to troubleshoot office services equipment.
• Coordinate and maintain parish calendar ensuring timely set-ups and work assignments for parish events, concerts, weddings and special service dates throughout the year.
• Provide information by phone, email and in-person for weddings, memorial/funeral services, special events, and rentals. Serve as the initial point person for wedding planners, couples, and families.
• Coordinate room set-up and printed materials for Vestry meetings, and provide administrative support when needed.
• Field public requests for archival materials accordingly and assist with filing church records and registers.
• Maintain a full stock of tracts, brochures, welcome cards, and literature in the Church and Parish House common areas.

Experience and Qualifications:
• A Bachelor’s Degree is required.
• Two to three years of applicable experience.
• Excellent interpersonal, customer service, and communication skills.
• Highly organized, motivated, collaborative, creative, and tasks oriented.
• Must possess the ability to exercise good judgment courteously and tactfully.
• Strong knowledge of MS Office suite.
• Must be flexible to attend and support special events on evenings and weekends on occasion.
• Knowledge of or familiarity with the Episcopal Church is a strong plus.
• Satisfactory completion of a background check, conducted in accordance with applicable laws.
