The Episcopal Diocese of North Carolina represents 120 worshiping communities in the mid-section of the state. There are approximately 35 full and part time employees on the diocesan payroll, which include employees who work in our Raleigh office and employees around our diocese in our campus ministries, regional ministries and outreach ministries.

Job Title: Office Coordinator and Personnel Administrator

Job Summary
Responsible for all aspects of Diocesan personnel and benefits policies and implementation. This position will work with Diocesan staff and as a resource for congregations in the Diocese of North Carolina on issues of benefit enrollment.

Benefits responsibilities
 Administer employee benefits such as pension plans to Diocesan employees (clergy and lay), medical, dental, life insurance plans and short term and long-term disability
 Serve as primary contact for Church Pension Group (CPG) and any third-party administrators
 Working with the Insurance Committee, negotiate the annual benefit contracts with CPG Medical Trust and advise the Diocesan Council and congregations of any changes in premiums or benefits
 Handle enrollments, terminations, all necessary changes to individual benefits, and disability, accident and death claims for parish clergy and lay employees (MLPS)
 Develop communications tools to enhance the understanding of the Diocese of NC’s benefit package. Distribute materials for benefit orientation for new employees and open enrollment
 Reconcile pension and insurance statements prior to submitting to Accounts Payable
 Review, initiate and track Fidelity deposits for pensions
 Review, initiate and track Health Savings account deposits
 Work with retiring/retired clergy to facilitate pension and benefits

Payroll responsibilities:
 Process semi-monthly payroll through ADP
 Tracking and recording all time off (Sick, Vacation, etc.)
 Prepare new employee files to include all necessary personal information, tax forms, verified I9’s, background check requests forms and direct deposit information
 Respond to employee requests and questions concerning payroll and benefits
 Initiate background screening process for new hires (lay and clergy) for staff as well as
congregation throughout the diocese
 Working with ADP, and the Director of Finance, verify and distribute employee tax forms (W-2’s, 1099’s)
 Administer workers’ compensation process and annual report
 Assist with processing new hires, employee status changes, and terminations
 Maintain a thorough onboarding process which includes policies and norms in our office culture
 Annual compensation letter to all employees
 Annual letters to congregations listing imputed life insurance income for their employees if applicable

Miscellaneous responsibilities:
 Maintain Phone System
o Setup new employee extensions as needed
o Program the staff member on call extension monthly
o Update main phone message as necessary
o Point person for employees and phone company
o Monitor the General Mailbox and forward to appropriate person
 Administrator for Dropbox and Google – set up new employees
 Responsible for ordering office supplies and maintenance for office equipment
 Sort and distribute mail
 Prepare daily check log

All other duties as assigned.

Employment contingent upon successful completion of background check and completion of Diocese of NC Safe Church training and Diocesan Anti-Racism training within six months
of employment.

Qualifications, Education and Skills:
Bachelor’s degree in human resources or related field, or equivalent experience required
Benefits administration experience required
Excellent oral and written communication skills
Strong organizational and time-management skills
Ability to maintain confidentiality
Ability to prioritize job responsibilities in an ever-changing, fast-paced environment
Strong knowledge of Microsoft Windows/Office and ability to learn and use various software programs
Working familiarity of the Episcopal Church structure preferred
Self-motivated and able to work collaboratively in a team environment
